JOB DESCRIPTION

  

POSITION:  Executive Administrative Assistant to the Superintendent/Board Clerk

 

QUALIFICATIONS:  Associate’s degree (minimum qualification) or Bachelor’s degree (preferred) in English, journalism or a related field with 4 to 6 years of progressively responsible experience in administrative work, including office management, public contact, or education administration; or any equivalent combination of qualifications

as the Superintendent and Board of Education may find appropriate.

 

REPORTS TO:  Superintendent

 

JOB GOAL:  To perform a variety of administrative duties to support the

activities of the Superintendent's Office. Work involves assisting the Superintendent and members of the Board of Education in carrying out administrative activities.

 

KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of the organization and current operations of Weldon City Schools
  • Thorough knowledge of modern office practices and procedures 
  • General knowledge of the principles of organization and administration
  • Demonstrates functional knowledge of computers and all aspects of the Microsoft Office Professional software programs 
  • Considerable knowledge of budgeting
  • Ability to research program documents and narrative materials, and to compile reports from information gathered
  • Ability to review documents for accuracy of information, grammar, style, punctuation and vocabulary
  • Ability to maintain complex schedules, records and files
  • Ability to communicate effectively orally and in writing 
  • Ability to exercise considerable tact and courtesy in frequent contact with school officials and the general public

 

RESPONSIBILITIES:

  • Follow all rules, policies and procedures of Weldon City Schools, along with state and federal regulations pertaining to school system issues
  • Maintain strict confidentiality for all personnel matters
  • Represent the Superintendent and the Board of Education through release and explanation of public and non-controversial information to school employees, media and the general public
  • Prepare agenda for Board of Education meetings; manage the logistics and proceedings for planning major meetings; attend all board meetings to take minutes or notes and follow through on matters requiring correspondence
  • Assist in providing support to the Board of Education members on budgets; gather pertinent data, analyze requests and process information 
  • Maintain financial, and/or activity records; act as point of contact for the Board of Education and provide information or refer inquiries to proper personnel
  • Receive and respond to inquiries made concerning other departments or divisions within the school system
  • Answer questions from employees or the public concerning the revision of policies, procedures or deadlines and be prepared to explain the board’s use of records or information
  • Perform other duties and responsibilities as requested by the Superintendent and the Board of Education 

 

PHYSICAL REQUIREMENTS: Light Work: Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force as needed to move objects

 

TERMS OF EMPLOYMENT: 12 months

 

SALARY: Pay Grade 67; salary range $3,007.23 - $5,129.87

 

EVALUATION: Performance of this job will be evaluated in accordance with provisions of the Board, local, and state policy on evaluation of support personnel.
